We are seeking an Executive Assistant to provide dedicated administrative support to the Managing Partner. This is a full-time, in-office position based in our New York City office. This position requires on-site presence a minimum of four days per week, including any days the Managing Partner is working from that office.

The Managing Partner splits his time between Pantera's offices roughly: San Juan 60% New York City 20% San Francisco 10%

Responsibilities

  • End-to-end ownership of the Managing Partner's calendar, including scheduling and prioritization
  • Serve as a thoughtful gatekeeper, ensuring the Managing Partner's time is focused on his most impactful issues
  • Anticipate and prepare for all internal and external meetings, including managing logistics, drafting and circulating agendas, compiling briefing materials, and ensuring the Managing Partner is fully equipped for each discussion
  • Leverage Outlook Tasks to manage post-meeting follow-up and action items, including but not limited to data entry, drafting next steps, and tracking progress through completion ahead of subsequent meetings
  • Provide basic project management support by establishing cadence, tracking progress, and prioritizing tasks to ensure timely completion
  • Support high-level verbal and written communication, including follow-up emails, and other correspondence to ensure clarity and alignment across stakeholders
  • Maintain organized systems for data management and tracking, including both physical and electronic files
  • Manage complex domestic and international travel arrangements, encompassing commercial and private aviation, accommodations, and ground transportation. Ensure all itineraries, boarding passes, and travel materials are prepared and accurate. Anticipate and resolve travel issues by monitoring flight paths, schedules, and potential disruptions to ensure seamless travel for the Managing Partner
  • Work cross-functionally with teams across the organization, including Marketing and Administrative groups, to ensure alignment and smooth execution of priorities
  • Oversee technology coordination for the Managing Partner's homes and offices, ensuring all devices and systems function seamlessly both on-site and while traveling

  • Monitor docket updates, court orders, and hearing settings, ensuring attorneys remain informed.

Discovery & Document Production

  • Draft and prepare discovery requests and responses, including interrogatories, requests for production, and requests for admissions, under attorney supervision.
  • Review, organize, and summarize discovery materials, deposition transcripts, and evidence.
  • Coordinate and manage document production with clients, experts, and opposing counsel.
  • Track discovery deadlines and follow up on deficiencies and outstanding items.
  • Work directly with clients to assist in gathering responsive documents and preparing discovery responses.

Client, Witness & Expert Coordination

  • Communicate with clients, witnesses, and experts to schedule meetings, depositions, and mediations.
  • Prepare subpoenas, deposition summaries, and witness lists.
  • Coordinate logistics for depositions, mediations, and trial preparation.

Trial Preparation & Support

  • Organize trial exhibits, witness files, and demonstrative evidence.
  • Prepare trial notebooks, exhibit lists, witness lists, proposed jury instructions, and other pretrial filings.
  • Collaborate with supervising attorneys on trial planning and pretrial logistics.
  • Provide on-site trial support as needed, including managing exhibits and coordinating witness attendance.

Administrative & Billing

  • Maintain accurate and detailed billable time entries.
  • Assist with client billing documentation and expense reporting.
  • Support firm administrative processes and contribute to workflow efficiency initiatives.

Collaboration & Workflow

  • Work closely with attorneys, paralegals, and administrative staff to maintain an efficient workflow.
  • Track all deadlines, hearings, and tasks in the firm's case management system.

Position Summary

As a Technical Operator at Hudsonville Ice Cream, you will play a key hands-on role in producing, packaging, and preparing our ice cream products across multiple production platforms. You will operate, monitor, and troubleshoot a variety of automated and mechanical equipment, ensuring production runs efficiently, safely, and to the highest quality standards.

This role involves ingredient handling, batching, freezing, filling, palletizing, and sanitation processes. You will work closely with team members, maintenance technicians, and leadership to meet safety, quality, and production goals while maintaining compliance with Good Manufacturing Practices (GMPs) and food safety standards.

The ideal candidate is dependable, mechanically inclined, detail-oriented, and thrives in a fast-paced environment. Success in this role requires initiative, a strong work ethic, and commitment to The Hudsonville Way by demonstrating teamwork, positivity, and responsibility in every aspect of production.

Duties and Responsibilities:

Attendance and Workplace Conduct

  • Maintain excellent attendance and punctuality

Physical and Technical Abilities

Production and Ingredient Handling

  • Assist with receiving bulk ingredients (e.g., yogurt and inclusions)
  • Support the mixing and batching of ice cream base according to standards
  • Receive, stage, weigh, and label ingredients accurately
  • Operate freezing, filling, and novelty production equipment
  • Assist with palletizing and preparing finished products for shipment

Safety, Compliance, and Quality Control

  • Follow all GMPs, allergen control, and food safety procedures
  • Operate equipment safely and according to standard operating procedures
  • Accurately complete production, quality, and sanitation documentation

 Sanitation and Cleanliness

  • Operate, monitor, and troubleshoot cleaning process
  • Perform Clean-in-Place (CIP) procedures and sanitation connections
  • Conduct thorough cleaning and sanitation of all equipment
  • Maintain a safe, clean, and organized work area

Equipment Operation and Maintenance

  • Monitor equipment performance and perform basic maintenance
  • Collaborate with maintenance technicians to resolve equipment issues

 Team Collaboration and Training

  • Support cross-training initiatives to build team flexibility
  • Support a team-oriented environment through active communication and collaboration

Qualifications:

  • Mobility: Stand for extended periods (up to 9 hours) with frequent walking, bending, reaching, and crouching.
  • Personal Protective Equipment (PPE) Compliance: Wear required PPE, including safety glasses, gloves, hearing protection, and bump or hard hats as needed.
  • Physical Strength: Lift, push, or pull up to 30-50 lbs. regularly from ground to waist or chest height; occasionally handle heavier items with assistance.
