Essential Job Duties

The Douglas D. Schumann Library & Learning Commons seeks a highly organized, customer and detail-oriented individual to fill the role of Library Administrative Coordinator. Reporting to the Library Director, and working closely with library colleagues throughout the department, this role provides clerical and administrative support for the Schumann Library on a variety of fronts. This is a full-time, benefited position that supports scheduling, budgeting, interdepartmental communication, and event planning and coordination. Administrative & Clerical Support (35%)

  • Serve as the primary administrative support resource for library operations.

What You'll Do

Provide Care

This position is contingent upon your ability to maintain and transfer your DoW Secret level Clearance In this role you will:

  1. Provide support across missile production, systems engineering, and project management activities under the guidance of senior program leadership.
  2. Monitor and track missile production schedules, issues, risks, materials, and processes; support status reporting and analysis.
  3. Assist the Production Director by supporting visibility into technical aspects of missile production and program execution.

Daily Responsibilities:

The government requires a Construction Manager/Administrator (CM-CA) that will be on-site for the duration of the Electronic Health Record Modernization Construction Project. This individual will provide professional and technical consultative assistance related to operations, renovation, and new construction programs supporting EHRM. This includes assisting the Contracting Officer and the Contracting Officer’s Representative in the areas of project management, project engineering, planning, scheduling, design reviews, code compliance, testing, record keeping, quality control, quality assurance, cost control, and general oversight of EHRM design and construction projects.

The Construction Manager/Administrator (CM-CA) shall be required to perform services including, but not limited to, the following (in no particular order)

The CM-CA shall be familiar with the site operations of a General and Sub-contractor and the process of managing a building construction operation.

The CM-CA must have a working experience in monitoring the construction for Quality Assurance.

The CM-CA shall have experience in preparing, analyzing, and identifying incongruities and deficiencies in the Contractor’s work in relationship with the construction documents. In addition, they shall understand the baseline schedule and assist in determining the value of the acceptable work in place.

Progress Meetings– Conduct or attend weekly or bi-weekly- project meetings to review and monitor projects and project schedules review of construction contractor payment requirements (including preparation of necessary forms for payment processing by VA).

Assisting in Issue Resolution - The CM-CA shall keep thorough records of occurrences, contracts, and others construction related matters of the project in order to assist the VA in conflict resolution. Perform scheduling, conduct and document regular progress meetings with all interested parties to review project status, discuss problems, and resolve issues accordingly.

Testing and Inspection Services -The CM-CA may be tasked to monitor the services of an independent testing agency/laboratory to perform project specific quality control testing and inspection services. The services may include, but are not limited to, testing/inspection of soils, concrete, precast concrete connections, steel, steel decking, applied fireproofing, roofing, curtain walls/glazing, and elevator installations.

Performing Additional Construction Related Services- Services may include but not limited to; Maintaining marked up sets of project plans and specifications for future as-built drawings; performing routine inspections of construction as work proceeds, taking action to identify work that does not conform to the contract requirement, and notifying the VA and general contractor when work requires correction; compiling, thorough site inspections, lists of defects and omissions related to the work performed and providing these lists to the contractor for correction; monitoring project financial data and budgetary cost accounting; assisting in relocation efforts; administration of construction contract change orders (preparing cost estimates, reviewing cost proposal); Submittal Review; Request for Information Review and Responses; Daily Logs of Activity; coordination of Owner supplied equipment; Operational and Maintenance data; Closeout Submittals and other services as may be required by the VA.

Required Qualifications (Experience, Education, Certifications, Clearances, etc.):

  • The Construction Administrator (CM-CA) shall have a minimum of three (3) years of construction field experience accomplishing similar CM tasks as noted above. A technical degree in Construction Management, Engineering or related field is preferred but not required if the candidate can show applicable construction administration experience.
  • Completion of 30-hour OSHA Safety Training Class (within 60 days of NTP)
  • The CM-CA shall possess a working knowledge of construction practices and call upon this knowledge to assist in implementing the various plans set forth on the project including Quality Assurance; Safety, Time, Cost, Change and Information Management. They CM-CA shall be familiar with the site operations of a General and Sub-contractor and the process of managing a building construction operation.

Base salary range for the role in New York, full‑time schedule: $184,000 – $216,000 USD. Total compensation package will include base salary, bonus/commission, equity, and benefits (health, dental, life, 401k, and paid time off).
