This is a complex and technical position responsible for supporting the full lifecycle of the City's grant portfolio, from opportunity research and application development through award implementation, financial monitoring, reporting, reimbursement, compliance, and closeout. The position works under the direction of the Grants Administrator and coordinates with City departments, Finance, Budget, Procurement, Legal, external partners, and funding agencies. About the Role:

UBMD Primary Care is seeking a patient‑focused Medical Office Assistant (MA) to support administrative and clinical operations at our Orchard Park outpatient clinic. This role is ideal for someone who enjoys hands‑on patient care, works well in a fast‑paced environment, and brings strong communication and organizational skills to every interaction.

What You’ll Do

In this role, you’ll use your administrative, clinical, technical, and interpersonal skills to support providers and ensure a smooth patient experience. Responsibilities include:

Administrative Skills:

  • Greeting and checking patients in and out
  • Managing a high volume of phone calls and directing inquiries appropriately
  • Verifying insurance coverage and updating patient information
  • Scheduling appointments and coordinating referrals
  • Collecting copays and completing daily payment balancing
  • Providing general customer service and administrative support

Clinical & Patient Care Skills:

  • Rooming patients efficiently and preparing them for exams
  • Performing clinical intake, including vitals (BP, pulse, temperature, height/weight, respiration)
  • Documenting patient history and observations in the EMR
  • Assisting with provider orders and patient call‑backs under RN/APP/physician direction
  • Supporting annual well visits and routine clinical workflows
  • Collecting and processing specimens
  • Performing point‑of‑care testing (e.g., EKGs, urine dip, glucometer, peak flow), depending on clinic needs

Operational & Support Skills:

  • Maintaining clean, organized exam rooms and monitoring supply inventory
  • Managing daily clinical tasks and follow‑ups
  • Ensuring compliance with HIPAA, OSHA, and infection‑control standards
  • Assisting with administrative tasks as needed (scheduling, scanning, referrals, copays, updating demographics)
  • Providing patient education and directing patients to appropriate resources
  • Following HIPAA, OSHA, infection‑control, and safety standards
  • Review and respond to company email daily.
  • Troubleshoot office issues and standardize procedures for efficiency.
  • Perform additional duties as assigned by program leadership.
  • Ability to work at least 30 hours per week on a regular basis.

  • Experience in budget execution, financial analysis, transaction processing, Interagency Agreements, obligations, de-obligations, commitments, expenditures, and unliquidated obligation close-out activities.
  • Experience in developing and maintaining financial reports and data summaries. 
  • Advanced analytical and problem-solving skills for financial data analysis.
  • Ability to develop, update, and monitor budget execution spend plans, unfunded requirements, commitment reports, expenditure data, and financial tracking tools.
  • Strong attention to detail and accuracy in financial reporting.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Professional demeanor and adherence to CBP’s standards of conduct.
  • Prior experience with SAP, ServiceNow, and Concur software systems is desired, but not required.
  • Must be able to successfully complete the required U.S. Government background investigation and security clearance process. The selected candidate must be able to obtain and maintain the security clearance required for the position as a condition of employment and continued employment.

OTHER ESSENTIAL REQUIREMENTS

Computer Skills: Proficiency with computers and ability to navigate/enter information into established databases and Microsoft Office products.

Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.

Communication: Ability to communicate effectively in writing and in person as appropriate for the needs of the audience.

Customer Service: Ability to address all customer inquiries with a pleasant and patient demeanor.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rates, ratio, and percent and to draw and interpret information. Ability to choose the right mathematical methods or formulas to solve a problem.

Reasoning Ability: Ability to collect data, define problems, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of instructions dealing with several abstract and concrete variables.

Work Environment: When on site, work is performed in an office cubicle environment with low noise level.

Physical Demands: Employee will have consistent and direct visual contact with multiple computer monitors. 

Other Demands:

  • Must comply with all CBP security, training, and onboarding requirements.
  • Professional demeanor and adherence to CBP’s standards of conduct.
  • May be required to work overtime during peak periods and perform mission-essential functions during government furloughs or shutdowns. 

This position follows a hybrid work schedule. Due to the onsite requirements of the position, candidates must reside within a 50-mile radius of the designated work location and be able to report onsite as scheduled. The hybrid work schedule is subject to change based on customer and/or business requirements.
